This policy describes information processed through HotelSalesAssistant.com and the Hotel Sales Assistant ChatGPT calculator plugin. Hotel Sales Assistant provides hotel group-sales productivity tools. The plugin currently provides deterministic hotel group attrition and cancellation calculators. Separate desktop-product services, trials, and billing are distinct from the free calculators.
Information We Process
Calculator entries may include event dates, room counts, actual pickup, contracted rates and amounts, charge names, allowances, cancellation percentages, and tax settings. No Hotel Sales Assistant account or login is required for the calculator plugin. It does not request confidential RFP files or read contract documents. Avoid entering personal information or confidential details in charge names.
If you email us, request a demo, or request a trial, we process the information you choose to provide. Website forms may request your name, work email, phone, company or property, job title, and information about your workflow. Trial requests may also produce license and trial-status information. Subscription and billing activities are separate from calculator use.
Calculator Data
The public website calculators currently process entries locally in your browser. The ChatGPT plugin processes MCP requests only as necessary to provide the requested calculator or tool response. That processing involves sending relevant inputs to the calculator service and returning results to ChatGPT and its embedded interface.
No calculator input database exists. Hotel Sales Assistant does not intentionally persist calculator entries, use them for analytics, or use them to train an AI model. Calculation logic is deterministic code. These statements describe our calculator application, not the separate data practices of ChatGPT or hosting providers.
Website / Technical Information
Loading pages and making service requests may involve technical information such as IP addresses, request times, requested paths, browser information, and response status. Hosting and infrastructure providers may process this information to deliver, secure, and troubleshoot the service. Client-side calculation does not mean that a page visit sends no technical information.
Website Analytics
We use Vercel Web Analytics on this website, including the attrition and cancellation calculator pages, to understand aggregate visitor counts and page views. It records public page paths and technical visit information such as time, referring website, approximate location, browser, device, and operating system. Vercel uses a temporary request-derived identifier rather than analytics cookies; its visitor-session identifier is discarded after 24 hours. See Vercel's analytics privacy documentation.
Our analytics integration removes query strings and fragments from the page URL and tracks only known public page paths. We do not send calculator inputs or results, form entries, customer details, license codes, or payment information as analytics events. We do not track form submissions, purchases, downloads, or calculator actions as custom events. This website analytics integration does not add tracking to the Windows application or change how that application handles data locally.
How Information Is Used
We use information to provide requested calculations, respond to questions, arrange requested demos, administer trials and subscriptions, and operate and protect our services. Trial contact and license information may be used for customer-management records and trial-related communications. We do not use calculator inputs for analytics or model training.
Service Providers / Infrastructure
Service providers supporting hosting, request delivery, security, email, licensing, customer management, and billing may process information needed for those functions. Calculator responses also pass through the ChatGPT platform when you use the plugin. Website billing links use Stripe. The absence of a calculator database does not imply that infrastructure providers receive no technical data.
Data Retention
The calculator application processes entries to provide results and does not intentionally save a calculator history. Entries may remain visible in your open browser or ChatGPT conversation. Technical records, support correspondence, trial records, and billing records are separate from calculator inputs and may be retained as needed to operate those services, resolve issues, and meet applicable obligations. We do not promise a single deletion period across all providers or platforms.
You may contact us with privacy questions or requests concerning information you have provided to Hotel Sales Assistant. There is no stored calculator-history account with us to delete. Use the relevant third-party platform controls for information held by that platform.
Security
We take reasonable steps to protect information processed by our services. No transmission or storage system can be guaranteed completely secure. Please do not email passwords, payment card details, confidential RFPs, or contract documents for calculator support.
Third-Party Services
ChatGPT, payment services, and external destinations operate under their own terms and privacy policies. Review OpenAI's Privacy Policy and your ChatGPT settings for information about OpenAI's processing. This policy makes no representation about whether OpenAI retains your conversations or uses them for training.
Children
These services are intended for hotel group-sales professionals, not directed to children. If you believe a child has provided personal information to us, please contact us so we can review the situation.
